Your new company 
Hays Business Support are currently seeking an APS4 Administration Officer for a Federal Government agency that delivers specialised mental health and wellbeing services to veterans and their families. This is a meaningful opportunity to contribute to improving the lives of those who have served, while working within a supportive and collaborative clinical environment. The role will be full-time, office-based, and offered as a 6-month temporary contract.
Your new role 
Based in Hobart, you will support the delivery of high-quality mental health and wellbeing services to veterans and their families as part of a multidisciplinary team. As an APS 4 Administration Officer, you will play a key role in both business administrative functions and supporting the implementation of a new Case Management System (CMS).
Your responsibilities will include frontline telephony, appointment management, and responding to online enquiries, ensuring a professional and client-centred first point of contact for all client services. You will respond to queries from clients and external providers relating to administrative, access, and technical matters, while maintaining accurate and up-to-date client records, including consent forms.
This role will require you to efficiently navigate multiple ICT systems to manage client information and meet KPI and performance expectations within a fast-paced environment. You will also provide administrative and front-of-house support across service delivery streams, assist with overflow tasks, and contribute to training support activities alongside the Learning and Development Coordinator.
What you'll need to succeed 
To be successful in this role, you will have demonstrated experience in administrative support within a clinical, health, or human services environment. In addition, you will be able to:
• Manage frontline telephony and act as the first point of contact for clients and stakeholders 
• Respond to administrative, technical, and access-related enquiries in a professional and timely manner
• Work efficiently across multiple ICT systems to manage client information  
• Provide high-quality administrative support, including data entry, record keeping, and appointment coordination 
• Support multidisciplinary teams in the delivery of mental health and wellbeing services 
• Demonstrate strong interpersonal and communication skills
Experience with Salesforce systems will be highly regarded.
